MoneyKhata – Privacy Policy

Last Updated: 31 October 2026

Your money information is personal. This Privacy Policy explains what data MoneyKhata collects, how it is used, with whom it is shared, and the choices you have. MoneyKhata is developed and operated by Dolly Kumari ("we", "us"). By using MoneyKhata you agree to this Privacy Policy.

1. Local-first by default

MoneyKhata is designed so that your financial records stay on your device by default. Expenses, income, khata (ledger) entries, budgets, notes, reminders and reports are stored in a local database on your phone. They do not leave your device unless you explicitly use a feature described below that sends data — and every such feature is optional, turned off by default, and can be turned off again at any time in Settings.

2. Information we process, feature by feature

We only process the data a feature you choose to use actually needs.

2.1 Your financial records (always local)

Your expenses, income, khata transactions, people's names and phone numbers you add, budgets, recurring dues, notes and reminders are stored locally on your device. We do not receive them unless you sign in and turn on cloud sync (see 2.3) or use the AI Assistant (see 2.5).

2.2 Account information (only if you sign in)

MoneyKhata works fully as a guest without any account. If you choose to sign in with Google, or with Apple on iOS, we receive your name, email address and profile photo from the sign-in provider to create and manage your account on our server. Your authentication is handled by Google (Firebase Authentication). You can delete your account and all its cloud data at any time from the app (Profile & card → Delete account); see section 7.

2.3 Cloud ledger sync (only for signed-in users; off for guests)

If you sign in, MoneyKhata can automatically sync your ledger data (expenses, income, khata transactions, people, budgets, categories and recurring entries) to your account on our server so your data follows you across devices. This data is stored on our hosting provider's servers in a database that belongs to your account, so only you can access it through the app. Guests never sync a single byte. Sync is automatic and best-effort: if the server is unreachable, everything continues to work from your device.

2.4 Announcements (optional push)

If you turn on Announcements in Settings, the app registers for push notifications so we can send you occasional product news (new features, tips). Push notifications are delivered through Google's Firebase Cloud Messaging. Turning it off stops these notifications and removes you from the announcement topic. Notification content never contains your financial data.

2.5 AI Assistant (optional; requires your explicit consent)

MoneyKhata includes an optional AI Assistant that answers questions about your own records, such as "which month did I spend the most?". It is turned off until you tick a consent box and tap Enable — nothing is sent anywhere before that.

When enabled and when you ask a question, the app sends:

  • Your question (what you type);

  • The details the assistant needs from your records to answer — totals, and when your question is about them, the names of people with their amounts, category names, and the notes you typed;

  • Your device's app language, so the answer comes in your language.

This data is sent through our server to Google Gemini (Google's AI service), which generates the answer. It is subject to Google's privacy policy (https://policies.google.com/privacy).

What we do NOT send: your full transaction list, your device contacts, or your backups. Nothing from the conversation is stored on our servers — when you close the chat, the conversation is gone. There is a daily limit of free questions; you can earn extra questions by watching an ad (see 2.6).

You can turn the AI Assistant off at any time in Settings; turning it off stops any new requests.

2.6 Ads (optional; where shown)

MoneyKhata shows ads from Google AdMob in some placements, and a rewarded ad you may choose to watch for extra AI questions or before backup/restore. Where required (for example in the EEA/UK), the app asks for your consent through Google's User Messaging Platform before showing personalized ads; if you decline, no ads are served. Ad identifiers and consent settings are processed by Google under its own policy (https://policies.google.com/technologies/ads). Ads never read or transmit your ledger data.

2.7 Device identifiers

The app generates a random per-device id used only to count your daily free AI questions and to verify genuine installs with Apple's DeviceCheck / Google Play Integrity. This id does not identify you personally. Push notification tokens (when you enable Announcements) are stored so the notification can reach your device.

3. Device permissions

  • Contacts: requested only when you tap "Import from Contacts" to add a person. We never read your whole contact list for any other purpose.

  • Notifications: requested only when you enable reminders or the optional Announcements toggle. Reminder notifications carry no amounts or names.

  • No other permissions are requested. The app does not access your camera, microphone, photo library or location.

4. Backups

The backup file you create is encrypted on your device with strong, modern encryption (AES-GCM with a password-based key) before it is saved anywhere. The backup goes only where you put it (for example your own file storage). We cannot open it; if you lose your backup password, we cannot recover the file's contents.

5. How we use information

Information processed by MoneyKhata is used only to:

  • Provide the features you use (records, reminders, budgets, reports, sync, AI Assistant, backups);

  • Create and manage your account, if you sign in;

  • Deliver the announcements you opted into;

  • Keep the AI Assistant's daily question count and prevent abuse.

We do not use your financial records for advertising, profiling, analytics or any other purpose. We do not sell your personal or financial information to anyone, ever.

6. Who your data is shared with

Apart from the features described above, your data is not shared. The only third parties that may ever receive data through a feature you enabled are:

  • Google (account sign-in via Firebase Authentication, push delivery via FCM, AI answers via Gemini, ads via AdMob) — each under Google's privacy policy;

  • Our hosting provider, which stores our server (including signed-in users' synced ledgers in their own account database) under a commercial confidentiality contract.

7. Data retention and account deletion

  • Local data: stays on your device until you delete it in the app, clear app data, or uninstall MoneyKhata. Uninstalling removes it permanently.

  • Signed-in users: If you are signed in, you can delete your account from the app (Profile & card → Delete account). This immediately and permanently deletes your account and all cloud data synced to it — including your synced ledger, budget and recurring data — in one operation. Only your name and email are retained in a private archive record so we can honour your deletion and avoid contacting you afterwards; this record contains no financial data. Your device keeps its local copy and you can continue using MoneyKhata as a guest.

  • Guest users: If you never signed in, there is no cloud data to delete.

8. Security

We protect your information with reasonable technical measures: the local database stays on your device; backups are AES-GCM encrypted with a key derived from your password using Argon2id; the app supports a PIN and biometric lock; communication with our server uses HTTPS. No method of storage or transmission is perfectly secure, but we do not store your financial data on any server unless you signed in and synced.

9. Children's privacy

MoneyKhata is a general personal-finance app and is not directed at children. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy to reflect changes in the app or the law. Updates are published on this page with a revised "Last Updated" date.
